Overview

VibeDoc makes it easy to share documents with anyone via secure web links. Control who can view, download, and see your branding - all without requiring recipients to create an account. Document Sharing

How Sharing Works

Create Share Link

Click the Share button in your document editor

Configure Permissions

Set download permissions and branding options

Copy Link

Get a unique, shareable URL like:

Send the link via email, Slack, or any channel

Permission Levels

View Only

Recipients can view the document but cannot download or export

View & Download

Recipients can view AND download a PDF copy
Pro Feature: View & Download permission is available on Pro and Enterprise plans. Free users can share view-only links.

Branding Options

Free & Pro Plans (default)Shared documents display:

Sharing Page Features

When someone visits your share link, they see:
  • Document Title - Clear identification
  • Your Profile - Name/email/avatar of the sharer
  • Full Content - All blocks in preview mode
  • Download Button - If permitted
  • Responsive Design - Works on all devices
Share links use unique, unguessable tokens:
Anyone with the link can access the document. Treat share links like passwords.

Access Control

Each share link has a unique token. Without the exact token, the document is inaccessible.
Recipients don’t need a VibeDoc account to view shared documents.
Set expiration dates for temporary sharing (Enterprise feature, coming soon).
Add password requirements to share links (coming soon).

  1. Open Document - Navigate to the document you want to share
  2. Click Share - Find the share button in the header
  3. Configure Settings - Set permissions and branding
  4. Copy Link - Click “Copy Link” to clipboard
  5. Distribute - Send via your preferred channel

Revoking Access

Disable a share link (Pro feature, coming soon):

Open Document Settings

Navigate to document settings panel

View Share Links

See list of all active share links

Revoke

Click “Revoke” next to the link

Confirm

Link immediately becomes invalid
Revoked links cannot be restored. You’ll need to create a new share link.

Track how many times your document has been viewed (Pro feature, coming soon):
  • Total Views - All-time view count
  • Unique Visitors - Distinct IP addresses
  • View History - Timeline of views
  • Geographic Data - Where viewers are located

Engagement Metrics

Understand how recipients interact with your content (Enterprise feature, coming soon):
  • Time on Page - How long viewers spend
  • Scroll Depth - How far they read
  • Download Events - When PDFs are downloaded

Best Practices

Ensure your document title clearly identifies the content so recipients know what they’re viewing.
Only enable download if needed. View-only is more secure for sensitive content.
Open the share link yourself to verify it looks correct before sending to others.
When sharing, send from a professional email address with context about the document.
Unless intended for public consumption, avoid posting share links on Twitter, LinkedIn, etc.

Troubleshooting

Cause: Download permission is disabled or requires Pro plan.Solution:
  • Ask document owner to enable download
  • Upgrade to Pro if you’re the owner
Cause: “Remove Branding” option wasn’t enabled when creating share link.Solution:
  • Create a new share link with branding disabled
  • Or update existing link settings (coming soon)
Cause: Shared view uses preview mode which may differ slightly from edit mode.Solution: This is expected. Shared documents always show preview mode.

  • No tracking cookies without consent
  • GDPR-compliant data handling
  • SOC 2 Type II certified (coming 2025)

Sensitive Documents

For highly sensitive documents:
  • Use password protection (coming soon)
  • Set expiration dates (coming soon)
  • Enable view-only mode
  • Monitor access logs (Enterprise)
  • Consider using enterprise SSO
